Requisition Number 17-2478 Post Date 11/21/2017 Title CRG - Secretary City Scotts Valley State CA Description OVERVIEW: Camper check-in, managing the USDA Summer Food Service paperwork, handling phone calls, running the Canteen during Free Time for campers, camper check-out, and mail call are all responsibilities of the Camp Secretary. The objective of the Camp Secretary is to manage the program office in an organized and efficient manner, maintain camper registration, assist with making schedules & copies for summer staff, Seeker Card input and distribution of the cards, handle phone calls, welcome in guests, and to ensure an organized and efficient operation. DUTIES: 1. Serve as the receptionist for camp 2. Learn & operate the Camp software 3. Assist with registration of all campers 4. Maintain an updated Staff roaster 5. Ensure that the camp photo for each session is uploaded and sent to the printers by the end of the first camp day (Monday) 6. Update the camp software in the event of a camper leaving camp early 7. Compile, print & distribute cabin population sheets to Unit Leaders at the beginning of each camp session, the list should include any special instructions that may have been noted on the camper’s application 8. Handle incoming and outgoing phone calls (take and distribute messages in a professional manner) 9. Complete typing and office procedures as directed by the Camp Director and/or Administrative Assistant 10. Compile camper billing information material at conclusion of each camping period 11. Maintain daily record of all out-going calls and check against telephone fill for charges (personal and official) 12. Handle purchasing of equipment and supplies as authorized by the Camp Director, Program Director, and/or Business Manager 13. Disburse office supplies and maintain record 14. Supervise the signing in & out and the distribution of all visitor passes 15. Supervise Staff when signing in & out at the Gatehouse 16. Assist with USDA/ SFSP paperwork and counting at the start of each meal 17. Pick up supplies for camp when needed such as supplies for evening programs, emergency food needs for kitchen, etc. 18. Assist in other areas of camp as needed 19. Maintain a clean and well-organized desk and work 20. Any other duties as assigned by your supervisor 21. Assist the Camp Director in any other duty as requested to maintain a consistently high level of efficiency in the operation of the camp. All staff may be called upon at any time to assist in the total operation of the camp. You are expected to join in all evening programs; absences are excused only through the Program Director. Requirements QUALIFICATIONS: 1. Must possess good general office skills 2. Must have good verbal and written communication skills 3. Must be organized 4. Must be at least 18 years of age PHYSICAL REQUIREMENTS: 1. Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis. 2. Ability to grasp, push and pull objects and tools 3.
