Requisition Number 17-1821 Post Date 9/14/2017 Title Volunteer Coordinator City Seaside State CA Description The Salvation Army Golden State Division Monterey Peninsula POSITION: HR/Volunteer Coordinator DEPARTMENT: Administration SUPERVISOR: Director of Advancement STATUS: Non-Exempt, Full Time OVERVIEW: HR duties: The incumbent, under the supervision of the Corps officer, will develop, monitor and maintain all systems and procedures associated with the efficient and effective Human Resource operations of the Corps. Observe and enforce all policies and procedures as directed by Divisional and Territorial Headquarters Volunteer Coordinator: The Volunteer Coordinator' s primary role will be to advance volunteerism within our programs, matching volunteers and their skills with volunteer opportunities, while bringing in additional resources to Salvation Army programs and to those we serve. The Coordinator will interview, recruit and ensure that volunteers are cleared to serve as mandated within TSA policies. Reports to the Director of Advancement. Requirements DUTIES: 1. Communicate regularly with Corps Officers and Program Directors for their HR and volunteer needs Help directors and their staff to prepare accurate and functional HR job descriptions for new employees Identify and recruit qualified candidates for open positions. Includes examining and verifying qualifications review resumes with directors and officers, arrange for appropriate interviews 2. Processes background checks, references and personal data as mandated by TSA policies 3. Develops and maintains a roster, including qualifications and seasonal availability of "ready volunteers' Public speaking at various venues to promote the work of The Salvation Army and the need for volunteers. Publish and maintains a monthly volunteer service schedule both individually and as a group. Issue verification letters of hours served, and provide monthly reports of statistics to Corps Officers. 4. Create and maintain personnel files on all employees, review benefits as they become eligible 5. Recognizes volunteers and organizations providing volunteers, through regular "thank you" correspondence and other acts of recognition, as part of a systematic volunteer appreciation program. 6. Participates in all program required training and development opportunities, including department meetings and other special events. 7. Assists with other events and attends outside meetings that build ties with the wider Monterey community, to build on the existing volunteer program. 8. Maintains confidentiality of Salvation Army client information SEASONAL DUTIES -- During the Holiday Season (October-December) there will be increased responsibilities, requiring up to 40 hours per week of work 1. Red Kettle Program -- works with Corps Officers, Advisory Board Members and other staff to obtain additional store locations and permissions for locations of Red Kettles. Provides a full cadre of Red Kettle volunteers, and attends to all active kettle locations. Manages the on-line Red Kettle schedules. 2. Works with Administration to make sure kettles are delivered and picked up in a timely manner. Helps count Red Kettle receipts. 3. Recruits volunteers for all holiday related activities and events, including KSBW's "Share Your Holiday" Telethon Phone Bank and Local Distribution site, as well as the Sahu Safari Dinner and Auction. 4. Is available at the KSBW "Share Your Holiday" local distribution site to provide guidance to volunteers. 5. Supplies volunteers for other holiday fund raising events (Sahu Safari, Red Kettle Luncheon, Good Sam holiday meals, and others. 6. Recruits food donations for lunches for volunteers at the Toy Warehouse location during packing and distribution days. Provides additional assistance and oversight at the Toy Warehouse when large volunteer groups are assigned. 7. Provides transportation and pickup as needed, using TSA vehicles. 8. Maintains professional desk and office environment for interviewing and directing volunteers. QUALIFICATIONS: I. Ability to maintain confidentiality and a high degree of professionalism within the department, as a spokesperson for The Salvation Army 2. Previous experience of 2 years in Human Resources position and/or Volunteer Coordinator Capacity 3. High familiarity with Wage and Hour Laws, HR Policies and practices of Division and Territorial offices 4. Familiarity with Microsoft Word, Excel and Lotus Notes, Google Docs, and ability to prepare professionally acceptable correspondence. 5. Good verbal and written communication skills with accurate and prompt scheduling and attendance meetings 6. Ability to work with persons of diverse backgrounds 7. Interest and/or background in community service 8. Minimum of two years' experience in general office work, or two years' post-secondary education 9.
